Running a small business means juggling all the things.
At some point, you realise you can’t (and shouldn’t) do it all yourself, but hiring a full-time employee isn’t the right move just yet.
That’s where a Virtual Assistant (VA) comes in. A VA gives you flexible, cost-effective support so you can offload tasks, free up your time, and focus on what actually moves your business forward.
A Virtual Assistant is a self-employed professional who provides administrative, technical, or operational support remotely.
Because VAs are independent contractors there are no employee overheads, no office space required and no equipment to provide. You get experienced support, when you need it. #winwin
If you want to get the most out of working with a VA, here are seven simple tips that will make all the difference:
Before you bring a VA on board, get clear on what you actually want help with.
Start by listing everything you do in your business, then split it into:
tasks you need or enjoy doing
tasks you don’t enjoy or don’t need to be doing
That second list? That’s your starting point ...
Not all VAs offer the same services, and that’s a good thing. Look for someone who has experience in the areas you need, understands your business and feels like a good fit for how you work.
Do your research. Check their website, socials, and reviews. You want someone who gets it and you feel you can click with.
Good communication makes everything easier.
Decide early on how you’ll communicate (email, Asana, Slack, etc.), how often you'll have checkins and expected response times.
This avoids confusion and keeps everything running smoothly.
Clarity upfront saves time later. When delegating tasks, be specific about:
what needs to be done
when it’s due
any preferences or important details
The clearer you are, the less back-and-forth you’ll need. You could also provide a sample of how it's been done in the past as a starting point.
Feedback helps your VA do their best work. If something’s working well, say so. But more importantly, if something needs adjusting, say that too.
And remember, it goes both ways. Your VA may have suggestions to make things even better.
This is a big one ... Your VA is there to support you, not to be micromanaged.
Start small if you need to, but as trust builds, allow them to take ownership of tasks. The ideal is that you get to a place where you don't even have to think about that particular task anymore because you know your VA has it covered!
Most VAs work with multiple clients, so a little flexibility goes a long way. With clear expectations and good systems in place, you’ll find a rhythm that works for both of you.
Working with a Virtual Assistant can completely change the way you run your business.
With the right setup, clear communication, and a bit of trust, you’ll not only get things off your plate, you’ll create more space to focus on what you do best.
And that’s where the magic really happens.
