It's Sunday afternoon. The week ahead is a beautiful blank slate. You know there's plenty to do, but you haven't quite nailed down what, in what order, or when.
Fast forward to Thursday and you're firefighting, behind on something you'd completely forgotten about, and wondering where on earth the week went.
Sound familiar? You're not alone, I promise.
Here's the good news: a little bit of upfront planning, done consistently, can completely change how your week feels. You don't need a fancy, complicated system. You just need a simple routine that works for how you actually work. Not how the productivity gurus say you should operate.

Here's how I set up my week, and how you can too.
Before you can plan anything, you need to get it all out of your head and into one place. A notebook, a Google doc, or a project management tool like Asana (you knew I was going to say Asana). Honestly, the format matters far less than the habit.
Write down everything that needs your attention this week. Client work, admin, business development, personal commitments, that thing that's been quietly nagging at you for a fortnight. All of it. Once it's out of your head, you're planning from the full picture instead of whatever happens to pop up mid-morning on Tuesday.
Not everything on that list deserves the same attention. Go through it and be honest with yourself: what genuinely needs to happen this week, and what's only there because it feels urgent?
There's a difference between urgent and important. Urgent tasks shout the loudest. Important tasks are the ones that actually move your business forward. The best weeks are the ones where the important stuff gets more of your time than the shouty stuff.
If you're in Asana, this is where sections and due dates really earn their keep. Seeing everything laid out by priority and date means nothing gets buried at the bottom of a list.
Here's a truth I share all the time: a task without a due date is just a wish.
Once you know what needs to happen, give it a home in your calendar. This doesn't mean scheduling every minute of your day (please don't). It just means your most important work gets its spot before everything else fills up the space.
And if you've got recurring tasks, like client reporting, social media scheduling, or that weekly admin catch-up, batch them together in a consistent slot. Batching similar tasks means less jumping between things, and that alone makes you more efficient straight away.
Things come up. They always do. If every hour is spoken for, one curveball sends the whole week sideways.
Leave a little breathing room in each day, even just 30 minutes. That buffer absorbs the unexpected without derailing everything else. And if nothing comes up? Bonus time to get ahead.

Your weekly planning session sets you up, but a short daily check-in keeps you there. Five to ten minutes at the start of the day to review what's on your plate, glance at your calendar, and confirm your priorities. That's it.
Over time it becomes second nature, and you'll find you're staying on top of things rather than constantly catching up. Such a good feeling.
Some weeks will go sideways no matter how beautifully you've planned. That's business (and life). The point of a planning routine isn't to eliminate chaos. It's to spend less time 'reacting' and more time working intentionally on the things that actually matter.
